Why Dashboards Could Be the Game-Changer Your Business Is Missing
By: Jake Liddell
Real-time dashboards sound amazing, don’t they? Charts, graphs, summaries, and lists available everywhere, always up to date. The kind of tool that could save hours of reporting every month and give you instant clarity on how your business is doing.
So why do so few businesses actually make use of them? And why are so many still stuck doing monthly reports?
The truth is, most businesses either don’t know how to unlock the power of dashboards or they’re relying on the limited functionality built into their existing tools.
The Problem With Built-In Dashboards
Most of the software we use, accounting tools like Xero, or CRMs like Go High Level (GHL), Pipedrive, or HubSpot come with dashboards baked in. And yes, they’re useful. They give you a snapshot of what’s happening.
But here’s the catch: dashboards are only as good as the data they’re summarising.
Take referrals, for example. You might want to track referrals given, referrals received, and the long-term value of those relationships. CRMs aren’t really designed for that level of nuance. They show you the basics, but the real insights come from looking at things holistically and over time.
The same goes for tracking leads, conversions, revenue, profit, lifetime value, or recurring revenue. Chances are, that data lives in multiple systems your CRM, your finance tool, maybe even a project management system. Individually, they’ll only give you part of the story.
The Smarter Approach: Decouple Reporting From Operations
Instead of relying on siloed dashboards that only show a slice of the picture, a better approach is to separate reporting from your core systems.
Here’s a simple 4-step process we use with our clients:
1. Identify What Matters Most
Decide on the key metrics you need to track, whether that’s referrals, customer lifetime value, churn rate, or recurring revenue.
2. Find the Data Sources
For each metric, identify which system holds the event. For example:
* When a lead is qualified → CRM pipeline stage changes.
* When revenue is booked → financial system entry.
3. Automate Data Extraction
Use automation (tools like Zapier, Make, or native GHL integrations) to pull the right data into a simple test sheet. This ensures you’ve got clean access before building dashboards.
4. Scale and Visualise
Once the data is flowing, move it into a more scalable platform like Airtable, SmartSheet, or ClickUp. From there, build dashboards that are role-specific and powerful:
* HR sees HR data
* Finance sees finance
* Leadership sees the roll-up of everything
This approach future-proofs your reporting while making it easier to grow without getting stuck in data silos.
Why This Matters for Small Businesses
For small and growing businesses, dashboards are a superpower. They:
* Give you instant insights instead of waiting for monthly reports.
* Help you spot problems early before they snowball.
* Allow you to make data-driven decisions with confidence.
* Free your team from manual reporting so they can focus on value-added work.
And the best part? Platforms like Airtable and SmartSheet are cheap or even free when you’re just starting out. You don’t need Salesforce-level budgets to get enterprise-grade insights.
At Automatic Business, we believe automation isn’t about replacing humans. It’s about giving you the headspace to focus on what matters: delivering exceptional customer experiences and growing your business. Dashboards are one of the simplest but most powerful ways to make that happen.
